Pilot refund policy
This policy explains how LightningWars expects to handle cancellations, failed payments, failed payouts, weather, safety issues, and technical interruptions during the promotional pilot.
LightningWars is currently an invitation-only promotional pilot. Participation is for adults aged 18 and over. Refund handling is reschedule/session-credit first, transparent, and documented for every booking, payment, and payout.
If a player or group cancels before a confirmed session, the default outcome is reschedule or session credit first. A money refund is only considered when reschedule or credit is not practical, and depends on timing, preparation already done, venue arrangements, and whether the match pool has already been funded. Cancellation more than 24 hours before the agreed session normally allows reschedule or session credit. Cancellation within 24 hours may result in EUR 100 costs being charged to cover preparation, operator, and location planning.
If LightningWars cancels or stops a session because of weather, location safety, equipment failure, payment infrastructure failure, operator judgment, or another issue outside the player's control, the default outcome is reschedule or session credit. A money refund may be considered if the session cannot reasonably be rescheduled or credited.
Players should arrive on time with a charged phone and a working Lightning wallet. If a player does not arrive, arrives too late to join safely, or cannot complete check-in because their phone or wallet is not ready, the session may continue without that player. No-show or late-arrival situations are normally not refunded once the session setup or match flow has started.
If a payment fails, the player may need to retry before joining. If a duplicate payment is detected, LightningWars should verify the payment records and return or credit the duplicate amount where appropriate. Payment hashes, timestamps, and wallet records may be used to verify the issue.
Player buy-ins enter the match pool. After final ranking, places 1, 2, and 3 receive payouts according to the split shown before play. Once a match has started, refunds are normally not available. If a final ranking exists and payouts are executed, the ranking and payout split are not changed afterward unless the operator declares the game invalid because of a serious technical or safety issue.
If an automatic Lightning payout fails because of wallet, routing, network, provider, or balance issues, LightningWars may use a claim, retry, or manual fallback process. A failed automatic payout does not automatically mean the player loses their payout entitlement.
For administration, pricing, refunds, and support, amounts may be recorded in EUR-equivalent terms at the relevant payment or payout moment. Bitcoin or Lightning network fees and routing fees may affect the final sat amount received or paid.
Players may be asked to provide their booking details, nickname, Lightning Address, payment reference, or screenshot when a payment or payout issue needs support. Never share wallet seed phrases, private keys, passwords, or custodial account login details.
Cancellation windows, credit rules, exceptional refund decisions, and accounting treatment are handled by the operator for the invitation-only pilot. The pilot should produce logs, payment records, payout records, and safety notes for accountant, legal, and KSA-style review before any public launch. Contact: hello@lightningwars.com.
